Athletic and Activities Director
Position: Athletic and Activities Director Assignment: District Labor Relationship: Act 93 Agreement Reports To: High School Principal Position Summary To organize, coordinate, supervise, and support all aspects of the District's interscholastic athletic programs and designated extracurricular and student activities. The Athletic and Activities Coordinator is responsible for promoting safe, efficient, and effective programs; coordinating schedules, facilities, transportation, personnel, and events; supporting coaches and activity advisors; and ensuring programs operate in accordance with District policies and applicable league, PIAA, state, and other governing requirements. Qualifications Education/Experience Minimum of three (3) years of relevant experience preferred. Valid Pennsylvania certification preferred. Thorough understanding of the processes and procedures involved in scholastic athletic programming. Ability and willingness to work outside of the regular workday, including evenings and weekends. Current clearances and medical examinations as required by Pennsylvania law. Possess and maintain a valid driver's license. Skills/Knowledge/Abilities Possess excellent interpersonal, verbal, and written communication skills. Possess strong problem-solving, organizational, planning, and decision-making skills. Ability to work effectively in an environment with frequent interruptions and extended or non-standard hours. Ability to make sound judgments and work effectively under high levels of stress. Ability to communicate effectively with the Board of School Directors, administration, staff, coaches, students, parents/guardians, officials, community members, and the general public. Ability to manage multiple tasks, work independently, meet deadlines, and establish priorities. Ability to exercise good judgment, discretion, and confidentiality. Ability to speak effectively in public forums and present information in a clear and concise manner. Ability to effectively supervise and evaluate staff. Ability to address emergency situations involving the health, safety, and security of student-athletes, staff, and spectators. Ability to work collaboratively with District administration and the Facilities and Technology departments regarding athletic facilities, operations, scheduling, equipment, and related systems. Physical Demands Ability to effectively operate office equipment including, but not limited to, telephone systems, computers/laptops, copiers, and calculators. Ability to effectively communicate via telephone and electronic communication systems. Ability to sit continuously for periods of approximately two and one-half (2�) hours. Ability to stand for extended periods of time. Ability to travel throughout District facilities and athletic venues and to attend events at off-site locations. Ability to raise and lower objects from one level to another, carry materials by appropriate means, and use hands and arms to reach and handle objects. Possess clarity of vision with or without corrective lenses. Ability to communicate verbally and perceive speech or other sounds with or without assistive devices. Athletic and Activities Responsibilities Plan, coordinate, and maintain master schedules for District interscholastic athletic programs and designated extracurricular and student activities. Coordinate the scheduling and use of District facilities for athletic practices, contests, extracurricular activities, student events, banquets, recognition programs, and other assigned activities. Coordinate with building administration, coaches, and activity advisors to minimize scheduling conflicts involving facilities, students, transportation, and District events. Serve as a primary administrative contact for head coaches and designated activity advisors regarding scheduling, facilities, transportation, events, and operational matters. Ensure appropriate transportation is arranged for student-athletes, coaches, activity participants, and advisors for approved away events and activities. Coordinate and contract approved officials for home athletic contests and ensure appropriate processing of payments. Coordinate and secure necessary gate, game, event, and supervisory personnel for home athletic contests and assigned student activities. Coordinate with building administration regarding appropriate supervision and security for athletic contests, dances, performances, competitions, and other designated student activities. Promote and regulate good sportsmanship and appropriate conduct among student-athletes, activity participants, coaches, advisors, staff, and spectators. In collaboration with coaches, advisors, and District administration, promote the health, safety, and welfare of students participating in athletics and extracurricular activities. Coordinate with the appropriate building principal regarding student eligibility requirements for participation in athletics and extracurricular activities. Ensure District athletic programs and assigned student activities comply with applicable laws, Board policies, administrative regulations, PIAA requirements, league requirements, and other applicable governing rules. Communicate regularly with coaches and activity advisors regarding schedules, operations, student needs, compliance requirements, facilities, transportation, and District expectations. Orient coaches and designated activity advisors regarding applicable District procedures, expectations, schedules, and responsibilities. Assist in recruiting and recommending qualified candidates for coaching and activity advisor positions. Supervise and evaluate head coaches and designated activity advisors as assigned and in accordance with District procedures. Participate in matters involving the performance or discipline of coaches and activity advisors as directed by District administration. Coordinate athletic and designated activity budgets with the appropriate building principal and assist in monitoring expenditures. Collaborate with the Director of District Facilities and grounds staff to ensure facilities used for athletics and student activities are appropriately prepared and maintained. Coordinate athletic awards, recognition programs, banquets, and other designated student recognition activities in collaboration with coaches, advisors, administration, and parent organizations. Assist with the planning and coordination of major student activities and events as assigned, which may include dances, pep rallies, assemblies, recognition programs, competitions, tournaments, and other extracurricular events. Maintain or supervise appropriate records related to athletic programs and assigned student activities. Coordinate approved non-school use of athletic fields and other assigned facilities in accordance with District procedures. Attend athletic contests, student activities, and other events after regular school hours and on weekends as necessary to effectively supervise and support District programs. Promote positive relationships among the District's athletic and extracurricular programs, families, community organizations, and the general public. Represent the District at appropriate league, athletic, extracurricular, district, and state-level meetings as assigned. Recommend organizational and operational improvements necessary to accomplish the objectives of the District's athletic and extracurricular programs. Report to the Superintendent, Board of School Directors, High School Principal, and other administrators regarding athletic and extracurricular programs as requested or necessary. Secondary Responsibilities Perform other duties related to District athletics and extracurricular activities as assigned by the Superintendent or High School Principal. Terms of Employment Terms and conditions of employment shall be in accordance with the Act 93 Agreement.
